What we collect

  • Your account: email address, optional display name, and sign-in metadata.
  • What you enter: client records (names, contact details, household notes), meeting transcripts you paste, audio recordings you upload, and every edit you make to a draft.
  • What the system writes: AI-drafted meeting artifacts, an append-only activity log of actions in your workspace (who did what, when), and per-account AI usage counts.
  • Feedback you send: the message, category, the page you sent it from, and any attachments you chose to add.

How it is processed

Client data is stored in a managed PostgreSQL database (Supabase) with row-level isolation: every record carries your account id, and the database refuses reads or writes across accounts. When you ask for drafts or transcription, the meeting transcript (first 60,000 characters) and the client context you entered are sent to an AI gateway for processing — currently Google Gemini models for drafting and an OpenAI transcription model for audio — and the results come back to your workspace. Instruction-like passages are masked before the AI reads a transcript, and the app tells you when that happened.

What never happens

  • Advisor OS never emails your clients — recap emails are yours to copy and send.
  • No data is pushed to any CRM; the CRM export is text you copy by hand.
  • Your client data is not sold, and is not used to train models.
  • Feedback attachments and client data never leave the app when you send feedback; if you opt to forward feedback to the Umbrella portfolio, only the message, category, and page path go (plus your email and browser details only if you choose “full”).

Retention and deletion

Meeting records are compliance artifacts: once approved they are frozen, and the activity log is append-only by design — that permanence is the product. Client records with no meeting history can be deleted in the app; feedback you sent can be withdrawn from your Feedback page. There is no automatic data expiry. For anything else, contact the operator (below).

The shared demo

The demo workspace is one shared account. Anything entered there is visible to every other demo visitor and is not reset between visits. Never put real client information in the demo.

Who operates this, and honesty about this page

Advisor OS is a pre-release product operated by The Umbrella Domain. This page was written by the team to describe the system's actual behavior; it has not been reviewed by counsel and is not a substitute for a negotiated data-processing agreement. If your due-diligence needs more than it answers, contact the operator via the in-app Feedback button or github.com/The-Umbrella-Domain.
